Collaboration Tool Update
I originally wrote this post on collaboration tools in September, 2013. I have grown and matured as a user and want to share the expertise gained with you!
As a busy entrepreneur I know that tracking your projects among your clients and team is vital. Project collaboration among multiple people is often easier said than done. The best way to ensure everyone stays on the same page is by using collaboration tools. Whether web based or as stand alone software, these tools help you plan, manage and collaborate on multiple projects at once.
After using collaboration tools heavily over the past several years, here are my top three T’s of collaboration tools.
Collaboration Tool #1: todoist
Sometimes you just need a good To Do list. Todoist does it for me. You can sort by labels, dates, projects, sub-projects, recurring tasks, etc. I am able to share these lists with team members. It is a lightweight collaboration tool, but it sends me a reminder every morning of what needs to be done that day. I can access it on all of my devices and it allows me to add to my Todoist list from my iPad and iPhone. There is a free version, a premium version (what I use) and a business version.
Collaboration Tool #2: Telegram Messenger
I work with international clients and we needed a collaboration tool that allowed for fast, reliable messaging and calls. We tried Skype but it was just too cumbersome when you are working from a desktop computer, laptop, iPad, and iPhone. The team just couldn’t connect consistently.
We started using Telegram because of the syncing capability and encryption. It is a free program and available for smartphones, tablets and computers. It uses your cell phone number as your user and syncs between all devices that the app is installed on.
Custom groups allowed for instant collaboration on projects.
Collaboration Tool #3: Teamwork
I wrote about Teamwork back in 2013. I am still using this project management collaboration tool and still LOVE it! As their website says, it is “Project Management Software for Professionals”.
For the project management power user, Teamwork Projects has everything you need to track a project from start to finish. The flexibility, combined with the intuitive features the app offers mean your team will not only become better collaborators but they will massively increase their productivity on a daily basis.
Teamwork is an easy-to-use online teamwork and project management software application that helps managers, staff and clients work together more productively online. You can assign tasks, project management, and use Gantt charts. It also allows for billing and time management. Integration to Dropbox is seamless allow you to assign specific folders to specific projects. Teamwork is my preferred tool.
You can use Teamwork free for 30 days and they do have a free tier (2 projects).
If you are looking for a deep dive into project management vs task management software, Cloudwards.net has a great article detailing the 2018 Best Project Management Software. Some of my best collaboration tools are listed.

Thanks for the tip Jane. I’ll look into http://www.proofhub.com/ and see what it is about!
Nice list, but I think proofhub is also a very important tool for small as well as medium sized businesses. This tool should also be listed in this list. 🙂
